MHTrack is a business management software platform operated by MHTrack Tech LLC (“MHTrack,” “we,” “us,” or “our”).

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit our websites, use the MHTrack platform, connect third-party services, communicate through MHTrack, or otherwise interact with us.

Scope

This Privacy Policy applies to:

  • The MHTrack website and software platform;
  • MHTrack administrative, employee, customer, dealer, and public-facing portals;
  • Mobile and desktop applications offered by MHTrack;
  • Integrations with third-party services, including QuickBooks Online;
  • Email, telephone, and text-message communications processed through MHTrack; and
  • Customer support and related interactions with MHTrack.

MHTrack is primarily provided to businesses, including manufactured housing dealers, contractors, community operators, service providers, and related organizations.

In many circumstances, the organization subscribing to MHTrack determines what information is entered into the platform and how that information is used. When MHTrack processes information on behalf of a subscribing organization, that organization may be responsible for determining the purposes for which the information is collected and used.

Questions concerning information entered into MHTrack by one of our customers should generally be directed to that customer.

Information we collect

The information we collect depends on how MHTrack is used.

Account and identity information

We may collect:

  • Name;
  • Business or organization name;
  • Job title;
  • Email address;
  • Telephone number;
  • Username and account identifiers;
  • Authentication and security information;
  • Office, location, dealership, tenant, or organizational affiliation; and
  • Account permissions and assigned roles.

Customer and business information

Our customers may enter information concerning their customers, prospects, vendors, employees, contractors, properties, homes, projects, transactions, and business operations.

This information may include:

  • Contact information;
  • Property and project information;
  • Sales and lead information;
  • Quotes, proposals, contracts, and transaction records;
  • Inventory and product information;
  • Accounting and payment-related records;
  • Documents, notes, communications, tasks, and activity history;
  • Customer service and warranty information; and
  • Information submitted through customer, employee, or project portals.

QuickBooks and accounting information

When an authorized user connects MHTrack to QuickBooks Online or another accounting service, MHTrack may access, receive, store, process, and transmit information authorized through that connection.

This information may include:

  • Company information;
  • Customers and vendors;
  • Chart-of-accounts information;
  • Products and services;
  • Estimates, invoices, bills, payments, deposits, credits, and related transactions;
  • Tax-related information;
  • Account balances and financial reports;
  • Transaction identifiers; and
  • Synchronization status, mappings, and metadata.

MHTrack accesses QuickBooks Online information only after an authorized user completes Intuit’s authorization process.

MHTrack does not receive or store a user’s Intuit password.

Communications and messaging information

When MHTrack communication features are used, we may process:

  • Email addresses;
  • Mobile and landline telephone numbers;
  • Email and text-message content;
  • Message timestamps;
  • Message status and delivery information;
  • Failure, response, and opt-out information;
  • Call metadata;
  • Call recordings or transcriptions when enabled and lawfully used; and
  • Records of consent and communication preferences.

Technical and usage information

We may automatically collect:

  • Internet Protocol address;
  • Browser type;
  • Device type;
  • Operating system;
  • Login timestamps;
  • Pages, screens, and features accessed;
  • Referring URLs;
  • Session identifiers;
  • Security and audit events;
  • Error reports;
  • Diagnostic data;
  • Application performance information; and
  • Cookie and similar technology data.

Support information

When you contact MHTrack for support, we may collect:

  • Support ticket content;
  • Email and chat communications;
  • Screenshots;
  • Attachments;
  • Relevant account and diagnostic information; and
  • Information voluntarily provided to help us investigate or resolve an issue.

How we use information

We may use information to:

  • Provide, operate, maintain, and secure MHTrack;
  • Create and administer user accounts;
  • Authenticate users;
  • Perform services requested by customers;
  • Synchronize information with authorized third-party integrations;
  • Send emails, telephone communications, text messages, and system notifications;
  • Process and document communication preferences and opt-out requests;
  • Provide customer and technical support;
  • Diagnose errors and improve system performance;
  • Prevent fraud, misuse, unauthorized access, and security incidents;
  • Maintain audit logs and business records;
  • Develop, test, and improve MHTrack features;
  • Communicate about service updates, security issues, billing, and administrative matters;
  • Enforce our agreements;
  • Comply with legal, regulatory, contractual, and industry requirements; and
  • Protect the rights, property, and safety of MHTrack, our customers, users, and others.

We do not use QuickBooks data or customer business records for unrelated advertising.

Text messaging and mobile information

MHTrack and organizations using MHTrack may send text messages for purposes such as:

  • Customer service communications;
  • Appointment and scheduling notices;
  • Project updates;
  • Sales and transaction updates;
  • Account or security notices;
  • Requested follow-up communications;
  • Payment or document reminders; and
  • Marketing or promotional communications when the recipient has provided the required consent.

Message frequency varies based on the services requested and the organization sending the messages.

Message and data rates may apply.

Recipients may reply STOP to opt out of further text messages from the applicable sender. Recipients may reply HELP for assistance.

Opting out of one messaging program may not opt the recipient out of unrelated communications sent by another organization, telephone number, or messaging program.

Mobile telephone numbers, text-messaging opt-in information, and messaging consent data will not be shared, sold, rented, or provided to third parties or affiliates for their own marketing or promotional purposes.

This restriction does not prevent MHTrack from using telecommunications carriers, messaging platforms, hosting providers, or other service providers that process messaging information solely to provide services on our behalf.

Such service providers may only use the information as necessary to provide the applicable service and may not use messaging consent data for their own marketing purposes.

Consent to receive marketing text messages is not a condition of purchasing goods or services unless otherwise permitted by law.

Who we share your information with

Service providers

We may use service providers to support:

  • Cloud hosting;
  • Data storage;
  • Email, calling, and text messaging;
  • Monitoring and analytics;
  • Error tracking;
  • Document processing;
  • Payment processing;
  • Customer support;
  • Cybersecurity; and
  • Software development and operations.

These providers may receive information only as reasonably necessary to perform services for MHTrack and are subject to applicable contractual or legal obligations.

Customer-directed disclosures

We may disclose, export, or transmit information when directed or authorized by an MHTrack customer or authorized user.

This may occur through:

  • Third-party integrations;
  • Data exports;
  • Customer portals;
  • Application programming interfaces;
  • Webhooks;
  • Automation tools; and
  • Communication services.

Third-party integrations

When a customer connects MHTrack to a third-party service, information may be exchanged with that provider according to the customer’s authorization and configuration.

Third-party integrations may include services provided by:

  • Intuit;
  • Twilio;
  • Accounting providers;
  • Communications providers;
  • Electronic-signature platforms;
  • Payment processors;
  • Cloud storage providers; and
  • Automation and workflow providers.

The third party’s own terms and privacy policy govern its handling of information after it receives the information.

Legal and safety reasons

We may disclose information when we reasonably believe disclosure is necessary to:

  • Comply with a law, regulation, subpoena, court order, or lawful governmental request;
  • Investigate fraud, abuse, unlawful activity, or security incidents;
  • Enforce our agreements;
  • Protect the rights, property, or safety of MHTrack, our customers, users, or others; or
  • Establish, exercise, or defend legal claims.

Business transactions

Information may be disclosed in connection with:

  • A merger;
  • Financing;
  • Acquisition;
  • Reorganization;
  • Sale of assets;
  • Bankruptcy; or
  • A similar corporate transaction.

Any such disclosure will be subject to appropriate confidentiality and legal protections.

Aggregated or de-identified information

We may use or disclose aggregated or de-identified information that cannot reasonably be used to identify an individual or customer.

QuickBooks Online integration

When you connect MHTrack to QuickBooks Online:

  1. You authorize MHTrack to access the QuickBooks company and information selected through Intuit’s authorization process.
  2. MHTrack uses the authorized information to provide accounting synchronization, transaction creation, reconciliation, reporting, and related functionality.
  3. MHTrack may store Intuit company identifiers, authorization credentials, synchronization status, field mappings, and copies of synchronized records as necessary to provide the integration.
  4. MHTrack does not receive or store your Intuit password.
  5. You may disconnect the integration through MHTrack or your Intuit account settings.
  6. Disconnecting QuickBooks Online may stop future synchronization but does not automatically remove information already imported into MHTrack.
  7. MHTrack may retain information when reasonably necessary for legitimate business, security, audit, backup, contractual, or legal purposes.

Cookies and similar technologies

MHTrack may use cookies, local storage, session identifiers, and similar technologies to:

  • Maintain authenticated sessions;
  • Remember preferences;
  • Protect accounts;
  • Prevent fraud;
  • Diagnose errors;
  • Measure performance; and
  • Understand how the website and platform are used.

Some cookies and similar technologies are necessary for MHTrack to function.

You may be able to restrict cookies through your browser settings, but doing so may prevent some MHTrack features from working properly.

How long we retain your information

We retain information for as long as reasonably necessary to:

  • Provide the MHTrack services;
  • Maintain customer accounts;
  • Complete authorized transactions and integrations;
  • Meet contractual obligations;
  • Maintain audit, backup, and security records;
  • Resolve disputes;
  • Enforce agreements; and
  • Comply with legal and regulatory requirements.

Retention periods may vary depending on:

  • The type of information;
  • Customer configuration;
  • The length of the customer relationship;
  • Contractual requirements;
  • Legal requirements; and
  • Security and backup practices.

After account termination or a valid deletion request, information may remain temporarily in backups, logs, or restricted archives until it is securely deleted or overwritten through our normal retention processes.

How we protect your information

MHTrack uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

These safeguards may include:

  • Encryption in transit;
  • Access controls;
  • Authentication safeguards;
  • Tenant and account separation;
  • Security logging and monitoring;
  • Restricted administrative access;
  • Backup and recovery procedures;
  • Vendor security controls; and
  • Internal security policies and procedures.

No information system is completely secure. We cannot guarantee that information will never be accessed, disclosed, altered, lost, or destroyed without authorization.

What rights you have over your information

Depending on where you reside, you may have rights concerning your personal information, including the right to:

  • Request access;
  • Request correction;
  • Request deletion;
  • Request a portable copy;
  • Restrict or object to certain processing; and
  • Withdraw consent where processing is based on consent.

Because MHTrack often processes information on behalf of business customers, we may direct your request to the organization that controls the applicable account or information.

We may need to verify your identity and authority before completing a request.

Certain information may be retained where permitted or required by law.

Children’s privacy

MHTrack is a business service and is not directed to children under 13.

We do not knowingly collect personal information directly from children under 13 through the MHTrack website or account registration process.

Customers are responsible for ensuring that information they submit to MHTrack is collected and used lawfully.

Where your information is processed

MHTrack is operated from the United States.

Information may be processed and stored in the United States and in other locations where our service providers operate.

Changes to this Privacy Policy

We may update this Privacy Policy periodically.

When we make changes, we will post the revised policy on this page and update the effective date.

Material changes may also be communicated through the MHTrack platform, by email, or through another reasonable method.
